Levelrow runs inside your Shopify admin, reads the money side of your orders and payouts, and posts one summarised journal entry per payout into the QuickBooks Online company you connect. It never reads your customers' names, addresses, email addresses or phone numbers.

1. What never happens

• Levelrow never asks Shopify for a customer name, address, email address or phone number. Its order access is approved at Shopify's Level 1 for amounts and tax.
• Levelrow writes nothing to your Shopify store. It holds read access only.
• The journal entries it writes to QuickBooks carry dates, amounts, account references and a memo with the payout id and the entry id. No order number and no customer data go into QuickBooks.
• Levelrow touches no QuickBooks transaction it did not create.
• No advertising, no profiling, no enrichment and no data sale. Nobody outside the services named in section 3 receives data from Levelrow.
• Levelrow sends your shoppers nothing. They never see it.

2. Data we touch

2.1 Your Shopify money data

Data: from your store we read payouts and their balance transactions, and from each order the amounts, tax lines, discounts, refunds, gift cards, tips, duties, Shopify fees, the order id and the payment gateway name.

Used to: work out what a payout is made of, split it by line type, and build the entry that matches your bank deposit.

Basis: performing our contract with you.

Kept: until you delete the data in Settings, or until the shop data is deleted after uninstall, as section 5 describes.

2.2 Your QuickBooks connection

Data: the realm id, name, country, home currency, tax setting and multi-currency setting of the QuickBooks company you connect.

Data: your chart of accounts as names, ids and types, and the access and refresh tokens Intuit issues.

Used to: check that your books fit what Levelrow supports, build your account map, and post entries as you.

Basis: performing our contract with you.

Kept: the tokens until you disconnect QuickBooks or uninstall; the rest as in section 5.

Disconnecting revokes the token with Intuit, and posting stops at once.

2.3 What Levelrow writes into QuickBooks

Data: one journal entry per payout, and one monthly clearing entry per third-party gateway. Each carries the date, the amounts, the account references from your own map, and a memo with the payout id and the Levelrow entry id.

Used to: make your books tie to the bank feed, one entry per deposit.

Who holds it: your own QuickBooks company, under your agreement with Intuit.

Kept: by you. Levelrow never deletes an entry on uninstall, and the entries it posted stay in your books.

2.4 Your map, your history and your differences

Data: the account map and its versions, the posted-entry records with the QuickBooks ids Levelrow created, the per-payout difference records, your settings, and who accepted a difference.

Used to: repost after a map change, show why a payout is off by a cent, and answer a support question.

Basis: performing our contract with you.

Kept: as in section 5. Export gives you the whole set as CSV at any time.

2.5 Email to us

Data: what you write to [email protected], your address, and anything you attach.

Used to: answer you and fix the problem.

Kept: 12 months after the thread closes.

3. Processors

• Shopify — the platform Levelrow runs inside. Your store data and the billing for this app stay with Shopify under its own terms.
• Intuit — QuickBooks Online is your accounting company, held by Intuit under your agreement with them. Levelrow uses Intuit's QuickBooks Online Accounting API under Intuit's developer terms, and sends it the entries described in section 2.3 and nothing else.
• Hosting and security providers — they run the server and database behind the app and the network in front of it.

Nobody else receives data from Levelrow.

4. Where the data sits and how it is protected

Every request between Levelrow, Shopify, Intuit and your browser uses TLS.

The app and its database run on our server in the United States; the database is reachable only from the app itself. Your Shopify access token and the QuickBooks access and refresh tokens are encrypted before they are written, with a key kept outside the database. Every webhook is checked against Shopify's signature and processed once.

5. Uninstalling, deleting and keeping

You can export everything as CSV and delete your shop's data from Settings at any time.

When you uninstall, Shopify tells us, and your shop's data is deleted no later than 30 days after that. Shopify also sends a redaction request of its own after an uninstall, and that deletes the same rows as soon as it arrives.

The journal entries already in your QuickBooks company are yours and stay there. Removing them is your decision, inside QuickBooks.

6. Your rights

If you are in the EU, the UK or another place with data-protection rights, you can ask us to show, correct, delete, restrict, export or stop using data about you. You can also complain to your local supervisory authority. Write to [email protected]; we answer within one month.

Levelrow holds no customer identity data, so a shopper's request reaches the store's own records at Shopify. Shopify's customers/data_request and customers/redact requests are answered with the fact that we hold no customer data: Levelrow stores order ids and amounts, and never a name, address, email address or phone number.

7. Children

Levelrow is a tool for Shopify merchants and their bookkeepers, and is not directed at children. We do not knowingly request personal information from children.

8. Changes

This notice describes what the app does today. If a change affects the data we touch, we say so in the app before it takes effect.
